Asset Management

Assets are the files used throughout the platform - images, audio recordings, and other media. This guide covers how to manage assets for your organization.

Overview

Assets include:

  • Images - JPEG, PNG, WebP, BMP, TIFF used in questions and information entries
  • Audio - MP3, WAV, WebM files for translations and question prompts
  • Documents - PDFs and other files (if supported)

Each asset is stored centrally and can be reused across multiple lessons.

Uploading Assets

Method 1: Upload in Question Editor

When creating or editing a question:

  1. Scroll to the Image section
  2. Click "Choose File" or drag and drop
  3. Select your image file
  4. Preview appears immediately
  5. Click "Save" to confirm

Method 2: Upload in Translation Editor

When creating a translation:

  1. Find the Audio Recording section
  2. Click the Microphone icon to record, OR
  3. Click "Upload" to use a pre-recorded file
  4. Select your audio file
  5. Preview plays automatically
  6. Click "Use" to confirm

Method 3: Bulk Upload

For uploading multiple assets at once:

  1. Navigate to OrganizationAssets (if available)
  2. Click "Bulk Upload"
  3. Select multiple files (drag or Ctrl+click)
  4. Files upload in the background
  5. Review completion status

Managing Assets

Viewing Organization Assets

  1. Go to Organization settings
  2. Look for Assets or Files section
  3. View all uploaded assets in a table

Deleting Assets

  1. Find the asset in the list
  2. Click Delete or the trash icon
  3. Confirm deletion in the dialog
  4. Asset is removed

Before deleting:

  • Check "Used In" column to see what will be affected
  • Consider replacing rather than deleting
  • Ensure no active content depends on it

Asset Storage

Organization Storage Limits

Organizations may have storage limits depending on your plan:

  • Used - Current total storage used
  • Limit - Maximum allowed storage
  • Available - Remaining storage

Best Practices

  1. Optimize images - Compress large images before uploading
  2. Use appropriate formats - WebP for web, MP3 for audio
  3. Delete unused assets - Regularly clean up assets not used in any content
  4. Reuse assets - Upload once, use across multiple questions

Troubleshooting

Upload Failed

  • Check file size (must be under 10MB)
  • Verify file format is supported
  • Try a different browser
  • Check your internet connection

Audio Won't Play

  • The file may be corrupted - try re-uploading
  • Check browser supports the format
  • Ensure the file completed uploading

Image Not Displaying

  • Refresh the page
  • Check the image format is supported
  • Try uploading again
  • Verify the image isn't too large

"Asset in Use" Warning

  • The asset is used in one or more questions/translations
  • Remove from all content before deleting
  • Consider replacing instead of deleting

Optimization Tips

Image Optimization

  • Compress before uploading - Use tools like TinyPNG or Squoosh
  • Use WebP - Smaller file size with same quality
  • Resize appropriately - Don't upload 4000px images if 800px is enough
  • Remove metadata - Strip EXIF data to reduce file size

Audio Optimization

  • Record at appropriate quality - 128kbps is usually sufficient
  • Trim silence - Remove long pauses at start/end
  • Use MP3 - Best compatibility across devices
  • Keep recordings short - 1-3 seconds for words, up to 10s for phrases

Organization

  • Use descriptive file names
  • Add descriptions to important assets
  • Track which assets are used where
  • Regular cleanup of unused files

Quality

  • High-resolution images for clarity
  • Clear audio recordings
  • Consistent formatting across content
